Everything you need to run your studio in PrettyCRM.
Getting started
Your free trial gives you 14 days of the Studio plan. No card is needed, and nothing is charged when the trial ends.
- Go to app.prettycrm.com and choose Start free trial.
- Enter your email and a password of at least 12 characters. A short sentence works well. Tick the box to accept the Terms of Service and Privacy Policy.
- Enter the six-digit code we email you. It expires after 15 minutes.
- If you signed up with a free email provider such as Gmail, verify your mobile number.
- Set up two-step verification: scan the QR code with Google Authenticator, Microsoft Authenticator, 1Password or a similar app, then enter the code it shows.
- Save your ten recovery codes. Copy or download them and keep them in a password manager. Each code lets you sign in once if you lose your phone.
- Name your studio, enter your name, choose English or Spanish, and select Open my studio.
Trying it with sample data
On a new studio, select Add sample wedding on the Overview page to explore a complete bridal party with looks, three example client fields and a Game Day schedule. Sample data can only be added to an empty studio.
Signing in and account recovery
Enter your email and password, then the current code from your authenticator app. After ten wrong passwords your account locks for 15 minutes.
Forgot your password
Select Forgot your password?, enter your email and the six-digit code we send. Choose a new password. You are signed out on every device, and two-step verification is still required the next time you sign in.
Lost your phone
On the code screen, select Use a recovery code instead and enter one of your saved codes, for example 7KQ2M-XP4RT. Each code works once. Then go to Settings → Security and choose Move to a new phone to set up your authenticator again. You will receive a fresh set of recovery codes.
New recovery codes
In Settings → Security, choose Create new recovery codes and enter a code from your authenticator app. Your old codes stop working immediately.
Clients and beauty profiles
Each client has contact details, a language preference, private notes and a beauty profile: skin type, skin tone, undertone, eye colour and profile notes. Your studio can add its own fields as well (see Client fields).
- Select Clients, then New client.
- Email addresses must be unique within your studio, so the same person is never entered twice.
- Search by name, email or phone from the Clients page.
- Every change to a beauty profile keeps the earlier version for your records.
Client fields
Owners and admins can add up to 40 fields of their own in Settings → Client fields. Examples: Lash preference, Preferred finish, Hair length, Photo consent.

For each field choose whether it is shown on client sheets (the Game Day PDF) and included in exports. Use the arrows to change the order. Archive hides a field without losing anything already entered; Restore brings it back with its values.
Events, people and looks
An event is a wedding, editorial shoot, special event or lesson. Create one from Events → New event and choose the main client.
People
Add everyone you will be working on: the bride, bridesmaids, mothers, the groom. Pick an existing client or add a new person. If the email matches an existing client, PrettyCRM uses that client rather than creating a duplicate.
Looks
Each person can have several looks — for example a ceremony look and a reception look, or a trial and a final. A look holds products with brand, shade, colour swatch and placement, plus hair and day-of notes. Set its status to Draft, Trial, Approved or Archived.
Game Day schedule and PDFs
- Open the event and select Game Day schedule.
- Set the date, the time everyone must be ready, and a buffer in minutes.
- Add a slot for each service: person, start and end time, and what will be done.
PrettyCRM prevents an artist from being booked into overlapping slots and warns you if the last slot plus the buffer runs past the ready-by time.
Printing and PDFs
Press Print schedule for the day’s timeline, or Print client sheets for one page per person with their details, the client fields you chose to show, their times and every look with colour swatches. PrettyCRM creates a PDF and opens it in a new tab, where you can save or print it. If your browser blocks the new tab, use the Open PDF or Download buttons that appear. For privacy, each PDF link works for 5 minutes. Share client sheets only with your team.
Your team
Studio includes up to 5 team members and Agency is unlimited. Solo Artist is for one person.
- Go to Settings → Team, enter the person’s email and choose a role.
- They receive an invitation email. The link works once and expires after 7 days.
- They create a password, set up two-step verification, save their recovery codes and join your studio.

Pending invitations count towards your seats. The owner can deactivate a member at any time; their access stops immediately.
Importing your clients
Go to Import & export and choose a file. PrettyCRM accepts CSV, Excel (.xlsx) and vCard (.vcf) files up to 20 MB and 25,000 rows.
- Match your columns. PrettyCRM recognises common English and Spanish headings such as “Name”, “Nombre”, “E-mail” and “Teléfono”, and columns with the same name as one of your client fields. Change any match, or choose “Do not import”.
- Review. You will see how many clients are new, already in PrettyCRM, repeated in the file, or have problems.
- Import.
You can undo an import for seven days, as long as none of the imported clients has been added to an event. The same file cannot be imported twice.
Tips
- Phone numbers work best with a country code, for example +1 808 555 0100.
- If your dates are written day-first (31/12/2026), tick the day-first option.
- Drop-down fields only accept one of their choices; other values are left blank.
Exporting your clients
Your data is always yours. In Import & export, choose Excel or CSV, the language for the column headings, and whether to include the beauty profile and studio fields. Only fields marked Include in exports are added.
For your protection every export needs a fresh code from your authenticator app. The download link works once and expires after 15 minutes.

Prices are in US dollars; applicable taxes are added at checkout. Yearly billing gives you two months free.
Choosing a plan
The studio owner opens Plan, picks monthly or yearly and selects Choose. Payment happens on Stripe’s secure checkout page; PrettyCRM never sees or stores your card number. If you subscribe during your free trial, your remaining trial days carry over and the first charge happens when the trial would have ended.
Managing your subscription
Select Manage billing to change plan, update your card, download invoices or cancel. Subscriptions renew automatically until cancelled. If you cancel, you keep access until the end of the period you paid for.
If a payment fails
Stripe retries the payment and emails you. Your studio keeps working for 7 days after the renewal date; after that it becomes view-only until the payment succeeds.
When a trial or subscription ends
Your studio becomes view-only. Nothing is deleted and you can still export. Choose a plan at any time to keep editing.
Security and privacy
- Encryption. Client names, contact details, notes, beauty profiles, studio fields, looks and schedules are encrypted before they are stored, using keys unique to your studio. Those keys are protected by a hardware security module in Google Cloud (Los Angeles region).
- Isolation. Every database query is limited to your studio by the database itself, not only by the application.
- Two-step verification. Required for everyone. Codes cannot be reused, and recovery codes are stored only as one-way hashes.
- Exports and PDFs. Exports need a fresh authenticator code; download and PDF links are short-lived.
- Payments. Card details are handled by Stripe and never reach PrettyCRM.
- Cookies. The studio app uses one strictly necessary sign-in cookie. Our website loads analytics or advertising tags only if you allow them. See the Cookie Policy.

Language
Use the EN / ES switch at the top of the app to change your language. Owners can set the studio’s default language in Settings. Each client can have a preferred language, PDFs can be made in either language, and exports can use English or Spanish headings.
Feedback and help
We read every message. In the studio app, open Feedback, choose a topic and write to us; it goes straight to our concierge team, and we reply by email if you allow it. You can also write to concierge@prettycrm.com. Please don’t include client details in feedback.
